Who we are

AIM (“we”) is the data controller for the business contact information described here. We are established in Singapore, not in the United Kingdom. The UK GDPR still applies to what we do, because we offer a service to businesses in the UK.

What this notice covers

It covers business contact details we hold about people at UK companies we have contacted, or may contact, about our lead-generation service. We did not collect this information from you directly, which is why UK GDPR Article 14 requires us to tell you where we got it.

It does not cover what happens when you use our website — that is the separate notice at aivancements.com/privacy.

Where we got your details

From published sources only, and each one does a specific job:

• Yell.com, a public UK business directory, where the business chose to publish a listing. This is where we find the company in the first place, and it gives us the trading name, business address, business telephone number, category and website address.
• Google Maps, which we use to confirm that the website we found really belongs to that business.
• The business's own public website, which we visit to find a published contact email address, and where UK companies are legally required to display their registered name, company number and registered office (Companies Act 2006 s.82).
• Companies House, the public UK register, which we consult to confirm that the business is an incorporated company rather than a sole trader. We do this precisely so that we do not send marketing email to individuals who have not consented.
• A web search — Bing first, DuckDuckGo if Bing returns nothing — to find the name of the person we should address, and their LinkedIn profile.
• LinkedIn. We open the public profile that search returned, and read it to confirm the person's role and employer, so that we write to the right person rather than a guessed one. We do this for a limited number of people per company, and we do not log in to see anything a signed-out visitor cannot.

If we greeted you by name, the last two are where that came from. We do not buy contact lists from data brokers, and we do not guess or pattern-generate email addresses. Ask which of these your details came from and we will tell you.

What we hold

Business trading name, business postal address and postcode, business telephone number, the published business email addresses we found, company registration number, website address, business category, and — where they are published — the names and job titles of contacts, together with links to their LinkedIn profiles.

We keep more than one address and more than one contact per business where we found them. We write to one. The others are kept so that we can send to the right mailbox if the first one stops working, and so that we can correct a wrong recipient rather than repeat the mistake.

We do not collect or process any special category data.

Why we use it, and our lawful basis

We use it to send a small number of business-to-business emails introducing our lead-generation service, and to stop contacting you once you tell us to.

Our lawful basis is legitimate interests (UK GDPR Article 6(1)(f)): our interest in promoting a relevant B2B service to businesses likely to have a use for it. We have carried out a balancing assessment and keep it under review. You can ask for a copy at hello@aivancements.com.

Separately, the Privacy and Electronic Communications Regulations govern the email itself. We send only to corporate subscribers — limited companies, LLPs and PLCs — and we screen against Companies House before sending in order to exclude sole traders and unincorporated partnerships, who are treated as individuals under those rules.

How to stop hearing from us

Reply to any of our emails with the word “unsubscribe” and we will stop immediately and permanently. You do not have to give a reason, and there is no cost. You can also write to hello@aivancements.com.

You have an absolute right to object to direct marketing. When you object we keep the minimum record needed to make sure we do not contact you again — that suppression record is the reason we can honour it permanently.

How long we keep it

Prospect records are reviewed at least every 24 months and deleted when they are no longer needed. If you ask us to delete your details we will do so — see “Your rights” below. Suppression records — the list of addresses that have asked not to be contacted — are kept indefinitely, because deleting them would risk contacting you again.

Who else sees it

No one. We do not sell, rent or share this data. It is stored on systems we control and processed only by us and our email provider, Namecheap (which hosts the mailbox this campaign sends and receives from), acting on our instructions.

Where your data is held

Your details are held and processed in Singapore, where we are based.

Your rights

You can ask us to give you a copy of what we hold, correct it, delete it, restrict how we use it, or object to our use of it. Contact hello@aivancements.com.

There is no automated decision-making that produces legal or similarly significant effects.

Complaints

If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office: ico.org.uk/make-a-complaint — 0303 123 1113. We would rather you told us first so we can put it right.
